How to collect birthday videos from friends and family

The easiest way to collect birthday videos is to give everyone one link and one deadline. Each person opens the link on their phone, records a short video, adds a photo or a message, and you review everything in one place before the birthday. No group chat, no app to install, no files to download. This guide compares the common ways to do it, gives you a message you can copy to ask people, and shows how to keep the surprise.

What is the easiest way to collect birthday videos?

Four steps. Most people finish the setup in about two minutes and spend the rest of the time nudging friends.

  1. 1Create an event for the birthday person and set a deadline a few days before the date.
  2. 2Share one invite link by WhatsApp, text or email. Guests open it, type their name, record a video and add photos or a message.
  3. 3Review the gifts as they arrive. Only you can see them until you publish.
  4. 4On the birthday, send the person a private link where they unwrap each gift.

Which tool should you use to collect the videos?

You can do this with tools you already have. The trade-offs are how much work lands on you, whether guests need an account, and whether the birthday person can see what is coming.

How do you ask people to record a video?

Keep the ask short, give a deadline and tell people exactly how long the video should be. A message with no deadline gets a 20-second video from the three keenest friends and nothing from everyone else.

Message you can copy

Hi! I am putting together a surprise for Ana’s birthday on the 14th.

Could you record a 30 to 60 second video for her? A memory, a wish, a joke, anything. Vertical is fine.

Open this link, type your name, record and send: [your invite link]

Please send it by the 10th. She does not know, so keep it quiet!

What makes people actually do it

  • Set the deadline four or five days before the birthday. You will need the margin for late videos.
  • Suggest a length. 30 to 60 seconds is long enough to say something real and short enough to record in one take.
  • Give three prompts: a memory you share, a wish for the year, something you admire about them.
  • Send one reminder two days before the deadline, to the people who have not sent anything yet.
  • Tell shy people a photo and a written message count too.

What should you ask each person to send?

The best gifts mix formats. Ask for all three and let people pick what they are comfortable with.

  • A video of 30 to 60 seconds, recorded on the phone, talking to the camera.
  • One or two photos: an old one together and a recent one.
  • A written message of a few lines, for the people who would rather not be on camera.

On Birthday Hello, an average of 20 people send a gift for each birthday, so plan for more replies than you expect.

How do you keep it a surprise?

Use a link the birthday person never sees. On Birthday Hello the invite link is only for guests, the gift page has a separate private link, and nothing is visible to anyone but you until you publish on the day. If you use a group chat or a shared folder instead, create a new group or folder without the birthday person in it and ask everyone not to mention it.

How do you give it to them on the birthday?

Send the private link in the morning, or open it together on a video call so you can watch them react. Each gift is a box they tap to open, so the reveal lasts longer than a single video.

  • Tell guests the gift was delivered: they want to know their video was seen.
  • Keep the invite link open a few days after the birthday for late arrivals.
  • The page stays online, so the birthday person can come back to it.
